JOB FUNCTION: Provides sound administrative skills to include analytical and mathematical reasoning ability and well developed organizational skills and exceptional support to the Academic Skills Center professional staff.
ESSENTIAL ELEMENTS:
1. Initiates student contact. Assesses areas of concern and resolves problems whenever possible. Responds to questions from students, faculty, and other internal and external contacts. Maintains confidentiality in all contacts.
2. Schedules appointments for the Disability Services Coordinator, Tutorial Coordinator, and the Learning Disability Coordinator
3. Answers and directs incoming calls in pleasant and informative manner. Places calls for supervisors as directed.
4. Compiles, collates and monitors the bi-weekly tutor payroll expenditures for reporting limits for budget and verification purposes involving the Academic Skills Center, and Work Study budgets throughout the fiscal year.
5. Verifies, collates and maintains all tutor employment forms. Prepares all student aid requisitions for the Academic Skills Center tutors and student aids.
6. Coordinates and prepares internal and external mailings for tutorial recruitment, surveys, evaluations and Academic Skills Learning Strategies Workshops.
7. Correlates training materials for initial and on-going tutor training sessions.
8. Coordinates all arrangements for the annual College Reading and Learning Association (CRLA) Tutor Certification and Awards Ceremony.
9. Acts as event coordinator involving contacting Dining Services for ordering food and beverages, Maintenance for room set up, and Public Relations for scheduling a photographer for the following events: the CRLA Tutor Certification and Awards Ceremony, College Entry, and First-Year Academic Studies Program (FASP).
10. Coordinates and prepares external mailings for the College Entry and FASP students, and the Annual Learning Differences Conference.
11. Coordinates and prepares informational packets for College Entry, FASP students and parents for each program’s separate summer orientation.
12. Acts as a contact person for the students and parents of the College Entry and the FASP Program informing them of basic elements of each program’s orientation.
13. Creates, prepares and updates all marketing, advertisements, flyers, brochures, bookmarks, posters and bulletin board for all services of the Academic Skills Center including the Learning Strategies Workshops, tutor recruitment and training, CRLA Tutor Certification and Awards Ceremony, College Entry and FASP.
14. Coordinates Academic Skills Center involvement in the Special Interests Fair held during Freshman Orientation each year.
15. Proctors students taking extended time tests in the office. Makes sure the integrity of the test is upheld and maintained. Answers questions concerning test if student has a problem understanding the test questions.
16. Participates in the interviewing and hiring process for student aides.
17. Guides and trains all students aides on office procedures, including answering the phones, copying, filing, helping students sign up for tutoring and extended time for tests. Holds student-training meetings every semester to update information on office procedures.
18. Creates the student aide schedules for each semester.
19. Helps students sign up for individual and small group tutoring.
20. Provides assistance to students with physical and learning disabilities including enlarges tests, syllabi, notes and assignments and scanning documents for use in electronic formats for students who are visually impaired.
21. Coordinates and contacts all media services for marketing, advertisements, and announcements of our services used throughout the year including Public Relations Monarch Notes, the Crown, the electronic bulletin boards and the King’s College Radio Station.
22. Contacts textbook publishers to order desk copies of specific textbooks for tutors. Maintains list of tutors who borrow desk copies for tutoring purposes.
23. Maintains and updates the Academic Skills Center web site.
NON-ESSENTIAL ELEMENTS:
1. Greets and provides assistance to campus visitors. 2. Directs students to other campus services. 3. Develops professional skills through participation on-going training. 4. Performs routine office functions, including filing and copying. 5. Performs other related duties as assigned.
REQUIRED SKILLS, EXPERIENCE AND TRAINING: Associates Degree in Accounting or related field strongly desired. Proficiency in Microsoft Word, Excel, Access, Kurzweil software and web development applications. Excellent typing skills and strong analytical and mathematical reasoning. Strong organizational and interpersonal skills. Ability to work independently. Strong problem assessment and solving abilities. Effective written and oral communications skills are essential in order to communicate effectively with all members of the college community and external constituents.

POSITION REPORTS TO: Assistant Director for Internships
JOB FUNCTION: To provide support to the Assistant Director for Internships primarily in the areas of student intern preparation and technical support.
ESSENTIAL ELEMENTS:
1. Acts as the initial point of contact for the Internship Program to provide basic information and appropriate action for students seeking information on internships. 2. Provides one-on-one assistance to students in the preparation for internships including resume development, interview skills, and internship search techniques. 3. Shares the responsibility of conducting information sessions and workshops for students preparing for the internship. 4. Assists in advertising and marketing new internship opportunities. 5. Creates new handouts and workshop materials as needed. 6. Assist in the planning of workshop offerings. 7. Coordinates the scheduling of all workshops and presentations. 8. Monitors all intern weekly work hours. 9. Compiles, updates and monitors program statistics. 10. Provides technical support to the Director in program matters. 11. Conducts career assessment and counseling services. 12. Collaborates with faculty to conduct class career presentations. 13. Implements outreach activities such as classes, residence halls, and other presentations on career related topics. 14. Utilizes career planning software and occupational information websites to help students understand the world of work. 15. Support Career Development Across the Curriculum.

REQUIRED SKILLS, EXPERIENCE AND TRAINING:
Masters degree in Counseling, Education or appropriate related field with strong academic performance. Qualified individuals will demonstrate strong communication and presentation skills. Superior oral and written communication, analytical and technical skills. Ability to juggle multiple tasks while maintaining composure with an emphasis on teamwork. An interest in advising and assisting college students, while also performing administrative duties. Efficiency with Microsoft Office. POSITION: College Counselor DEPARTMENT: Counseling Center CLASSIFICATION: Administrative POSITION REPORTS TO: Director of Counseling Center WORK SCHEDULE: Full time / 10 month JOB FUNCTION: Assists the Director in planning, organizing, directing and implementing services of the College Counseling Center.
ESSENTIAL FUNCTIONS: 1. Provides individual and/or group counseling and consultation to students for problems of living and learning. 2. Offers direct consultation and referral to faculty and staff for student-related issues. 3. Offers counseling to members of the faculty and administration when appropriate. 4. Provides crisis intervention and emergency consultation and referral to staff, as appropriate, in cooperation with a psychiatric consultant, Health Center, local mental health agencies, and other appropriate professionals, and is available “on-call” after hours as scheduled. 5. Makes appropriate referrals of student to off-campus mental health specialists, agencies and hospitals. 6. Offers consultation and selected direct services to other counseling related services on the campus, as appropriate: Career Planning and Placement, Residence Life, Judicial Officer, Academic Skills, Health Center, ACT 101, Campus Ministry, Admissions, Academic Standing Committee, Academic Advisement. 7. Assists in organizing staff and faculty professional development and on-going committees (Student Affairs Committee and the Alcohol/Drug Committee). 8. Helps develop outreach programs for specialized areas: addictions (especially, drug and alcohol), sexuality, violence concerns, in cooperation with other professionals.. 9. Offers various assessment techniques, when appropriate, to foster client self-understanding and decision making. 10. Maintains current files of all those who are served at the Center while maintaining strict confidentiality. 11. Assists in the orientation of new professional employees to the services of the Counseling Center. 12. JOB FUNCTION: Assists Academic Advisement personnel on daily operations of the office.
ESSENTIAL ELEMENTS:
1. Answers and screens incoming calls directing them to the proper office when necessary. 2. Greets students, faculty, staff, and visitors in a friendly and courteous manner. 3. Maintains calendar of events for staff of Academic Advisement Office. 4. Maintains on-going communication with director, advisors, faculty, and staff. 5. Maintains close working relationship with other offices including Admission Office, Academic Skills Center, Registrars Office, Achievement Plus Program, and Student Success/Retention Office. 6. Provides service to students, parents, faculty, and staff, providing information and referring them to appropriate college offices. 7. Schedules appointments, meetings, etc. with students, parents and faculty for director and advisors who work in the Academic Advisement Office. 8. Verifies information and answers inquiries from staff of Registrar's Office. 9. Creates and up-dates master file for all full time students. 10. Maintains confidential student records and prepares a duplicate file for the academic advisor. Evaluates request for student records disclosure in accordance with FERPA and College policy. 11. Compiles "Early Alert" and "Mid-Semester" deficiency reports on freshmen for their academic advisors and mails a notice to students to schedule appointment with their advisor. 12. Coordinates summer advisement and testing program from initial contact to its completions (including the physical relocation of the office during that time). 13. Administers the Nelson-Denny, Writing, Math, and Grammar Placement tests to incoming students indentified by the Admissions Office for pre-acceptance testing. 14. Schedules dates for Academic Standing Committee meetings and Review Sessions with appropriate offices. 15. Prepares necessary documentation for Academic Standing Committee meetings. 16. Prepares report of decisions made by Academic Standing Committee for appropriate administrative offices. 17. Notifies by mail and e-mail deliberations of the Academic Standing Committee to students who were reviewed. 18. Enters coding for students who are on probation, suspended, or dismissed into the Datatel System. 19. Creates reports using DATATEL inquiry. 20. Enters Writing, Math, Grammar, and Nelson-Denny Placement Tests scores into the Datatel System. 21. Prepares reports and publications using Microsoft Office (Microsoft Word, Excel, PowerPoint, etc.). 22. Hires, trains and supervises student aides in areas of filing, record keeping and using various office machines. 23. Operates and maintains office equipment for effective and efficient use, including PC and Xerox copy machine. 24. Performs clerical functions including typing reports, memos and correspondence, orders office supplies. 25. Coordinates projects for the office including editing of publications, mailings and other tasks. 26. Prepares, revises, and proofreads core and major academic program planners for office use and updates them on the King's College web site. 27. Processes paper trail for Change of Advisor, Change of Major and Course Withdrawal. 28. Types, addresses and sends letters, memos, notifications and mass mailings for director, transfer advisor, and freshmen advisors during academic year. 29. Provides clerical support for the office of Student Success and Retention in the following areas: a. Withdrawals i. Maintains spreadsheet which includes Student Name, Major, date of last class and date of withdrawal. ii. Maintains listing of number of withdrawals by Major. iii. Processes paper trail for College Withdrawals. b. Excessive absences i. Assists with necessary correspondence regarding excessive absence reports including correspondence with the student, resident assistant, class advisor, and other appropriate parties. ii. Maintains spreadsheet which includes student name, reporter’s name, student year, number of classes missing, action taken, and results. iii. Creates and maintains student excessive absence files.
